Working with file attachments
Documents that contain file attachments display an icon in the view, indicating there is an attachment in the document.

To view information about a file attachment

You can find out the name of a file attachment, the size of the file attachment, the date and time the file attachment was last modified, and encoding information. Select the attachment, and then choose Attachment - Attachment Properties.

To open file attachments

When you open an attached file, you can open it with the software program it was created in, or with an alternative program, depending on which program you have on your machine. If you do not have any appropriate software program installed, you can still view the contents of the attachment. For more information, see To view file attachments.

1. Select the file attachment by clicking it.

Note When you tell Notes to open an attachment, Notes asks the operating system to start the version of the application associated with the attachment's file type. For example, an attachment named REPORT.LWP would cause the operating system to start Lotus Word Pro. If the attachment's file type cannot be recognized, save the attachment to your computer, then open the file through your operating system, and choose the program the file should be opened with.

To view file attachments

Viewing a file means looking at the file's contents without using the software program the file was created with. If you're using Windows, you can view an attached file directly in Notes.

1. Select the file attachment by clicking it.

2. Choose Attachment - View.

3. Choose File - Close to close the file, or press ESC.

Note Once a file opens to view, a Viewer menu appears in the menu bar. This allows you to view the file in different ways, depending on the type of file. For example, if you view a Lotus 1-2-3 file, you can display the file with or without gridlines. Printing files from a viewer may give you unexpected results. If possible, print files from their native applications.

File formats supported for viewing in Notes

Notes supports a variety of file formats for viewing attachments. Notes contains KeyView technology from Verity for viewing attachments. The following formats are available for Windows operating systems:

To edit file attachments

When you choose to edit an attachment, you can open the file in the application it was created with, or in an alternative application.

Note Notes replaces the old attachment with the updated attachment when you save the Notes document. You do not have to delete the old attachment from the document and attach the newly edited attachment.

1. Select the file attachment by clicking it.

To save file attachments

You can save an attached file to your hard disk, a floppy disk, or to a file server. Notes saves a copy of the attached file and leaves the original attached to the document. If more than one file is attached to a document, you can save some or all of the files at once. If the file you're saving is a database, save it to your Notes data directory (Macintosh users, Notes Data folder) to make it easier to add to your workspace later.

Note To save an attachment to another document in the same database or a different database, select the attachment, choose Edit - Copy, open the document you are pasting the attachment in, place your cursor where you want the attachment to be, and then choose Edit - Paste.

To delete file attachments

You can delete one attachment, some attachments, or all attachments from a document. You cannot retrieve attachments once you delete them from a document.
